A
cooled environment during hot weather
Warm weather is on its way! That means school vacations,
tropical getaways, and air conditioning. Summer heat can be unpleasant,
especially while working. Our employees find it much more enjoyable
to work in a cooled environment, so if you have a house with central
air, please consider your cleaners’ comfort while they are present,
and plan for their arrival. If you will be out of town, please leave
them a note allowing them to activate air conditioning while they are
present. If you do not have central air, please activate a window unit,
or leave your windows open to allow a breeze. A cool cleaner is a happy
cleaner, and sweat stains are tricky devils to remove!
Moving
into the space age
We are trying to move toward the present and convert some of
our operations to digital formats. As a part of this movement, we will
be collecting e-mail addresses for the purpose of contacting our clients
with important information, scheduling, and comments, as well as invoicing
and providing you with statements. You may now opt to receive electronic
invoices and statements, which are instantaneous, paperless, and impossible
to lose in a stack of other envelopes. This will also help to cut down
our operating cost, so that we can afford to keep your costs as low

Short
or no notice cancellation
We understand that sometimes life can be hectic, and as such, the thought
that cleaners will be coming can be easily put out of your mind. However,
please understand that a short or no notice cancellation makes running
a business such as ours extremely difficult, and hurts not only our
office personnel, but also your cleaners. When provided with insufficient
notice of an appointment cancellation, our employees cannot be properly
scheduled to reflect it. This has been an issue for several years for
our company. When they are unable to clean a house that they have already
been scheduled for, cleaners have lost out on several hours worth of
income, and for most of our staff, this is their only means of supporting
a family. We require as much notice as you can give us when you become
aware that our services will not be required so that we can best accommodate
you and our employees.
Gratuity
envelopes
A new service that we offer is the inclusion of specially designed gratuity
envelopes. These business-card sized envelopes are the perfect way to
leave a token of appreciation for your cleaners. No more worrying about
leaving cash about the house and having it mistaken for a tip with these!
Simply seal your tip (cash only in these, please!) in the envelope,
and leave it with your payment envelope in plain sight. If you’d
like to include a tip in check format, just add on whatever you’d
like to your normal payment envelope, and note “+TIP” in
the comment field, and our office staff will distribute it to the cleaners
who were present. Feel free to request these as often as you like; your
gratuity envelopes will be on their way to you in the mail as soon as
your request is received.
Our
new field supervisor
As a part of our never-ending quest to improve our business, we have
hired a field supervisor. We would like your permission to duplicate
your house key, so that we may perform random quality control checks
on our houses after they have been serviced. If you would like to opt
out of this measure, feel free to decline; however, this is the most
efficient and most personalized means of ensuring your satisfaction.

You may also feel free to enclose a written copy of your response in
a payment envelope at your next cleaning if you prefer. Copies will
be made at our expense, so there is no cost to you, our customers, for
this service. No copies will be made until approval is given on a case-by-case
basis.
New
members of our staff
Our office is growing! You may have noticed phone calls from Sarah,
our newest office administrator. On the occasions that Dorothy
Martindale, the owner and operator of Martindale Cleaning,
is unavailable to assist you, feel free to allow Sarah to do so in her
stead. She is learning rapidly, and should be able to help you with
any comments, concerns, or changes you might have to share with us.
It is important to remember that office personnel do not have one hundred
percent authority over administration and procedures, but they are entirely
capable and competent individuals who should be able to help you with
